How to pay your fees

Undergraduate Students funded by Student Finance

If a student has applied to Student Finance, they will be sent a Student Finance Breakdown and a Payment Timetable by Student Finance directly. The student should bring both of these with them to registration.

If a student’s fees are not paid in full, the student must bring all forms they have received relating to their financial arrangement to Registration. Outstanding balances below £250 should be paid immediately, otherwise the student can pay via instalments as detailed below for self-paying students.

If the student does not have the forms by Registration, but has made an application, they must bring the most recent correspondence with them.

Such students will be provisionally enrolled until 31 October. The Finance department keeps in regular contact with Student Finance regarding the status of these students. Finance also keeps Registry informed.

If, by 30 November, Student Finance do not ultimately agree to fund the student, then the student must proceed as a self-paying student (as detailed below) and make the first payment immediately, or be withdrawn from the Conservatoire.

If you have outstanding debt from previous years, you will not be allowed to enrol until these have been paid in full.

Self-Paying Students

A single fee payment must be made prior to the start of the academic year if the student is paying in full. Alternatively, the student has the option to pay by three instalments. This can only be done online via the following link: Online Payments.

Payments will be taken in three instalments:

•  on setting up a plan prior to registration, 08 January 2025 and 24 April 2025.

There is no option to pay in more than three instalments. In the event of a failed or stopped instalment payment, the availability of payment by this method will cease and all outstanding fees will be due immediately.

There are separate arrangements for the Teaching Musician programme and Creative Music Making.

No instalment plan will be allowed that has not been set up online via the link above, unless the student has proof at enrolment of a loan from outside the UK which is paid in instalments from a Government body.

Student Visa Refusals

Tuition fees are normally fully refundable in case of visa rejection prior to enrolment on a programme. Students must provide evidence of the visa rejection from the UK Visa & Immigration to Registry.

US Federal Loans

If you have taken a US Federal Loan to cover your tuition fees, the amount borrowed will be deducted from your tuition fee liability upon registration.

US Student Loans and Federal Aid Return of Title IV Funds (R2T4) Policy

If a student who receives Title IV funding withdraws, interrupts for more than 180 days or drops below half time attendance, Trinity Laban Conservatoire of Music and Dance will follow the requirements of returning funds as defined by the US Department of Education and is applied alongside the College’s Withdrawal and Refund Policy. The Finance Office will use the worksheets provided by the US Department of Education to determine how much of the loan may be retained and how much must be returned. The US Department of Education is the “Lender”.

Return of Funds by Trinity Laban

A student “earns” aid on a daily basis and therefore if a student withdraws, any unearned aid for that payment period needs to be returned to the lender. Once the conservatoire has determined the amount of unearned aid, funds will be returned to the lender and the student notified if he or she needs to return any funds to the lender.

Loans are returned in the following order.

1. Federal Unsubsidised Stafford
2. Federal Subsidised Stafford
3. PLUS Loan

Loans must be repaid in accordance with the terms of the borrowers Promissory Note.

There are some Title IV funds that students are scheduled to receive that cannot be earned once a student withdraws because of other eligibility requirements. For example, a new student receiving aid for the first time who withdraws within the first 30 days of a programme will be deemed not to have earned any aid.

Trinity Laban will determine any adjustments to the loan within the 30 days of the students’ withdrawal and will return funds within 45 days of that calculation.

Students should note that this policy uses a different calculation from Trinity Laban’s withdrawal policy which may mean that the student owes Trinity Laban once money has been returned to the lender. Students will be notified if this is the case.

Determining the date of Withdrawal

The date of withdrawal from a programme will be determined by the Registry in discussion with the relevant Head of Programme once the student has determined an intention to withdraw. In the case of the students withdrawing without notifying Trinity Laban, the date of withdrawal will be the date on which the student was last known to have attended.

Return of Funds by Student

If the student is notified that there are loan funds that must be returned by the student, the student should repay in accordance with the terms of the promissory note signed by the student at the time of making the application for funds.

Withdrawals

If you withdraw from your programme by the end of enrolment, you will need to visit Registry and inform us in writing. You will not be liable to pay any fees if you confirm your decision with Registry by this time.

Where a student wishes to withdraw from their programme part way through the academic year for whatever reason, subject to the student observing the above procedure for withdrawal, the Conservatoire will adjust their liability for tuition fees:

Fee liability for students is as follows:

• Attendance on or after the first day of term 1: 1/3 of the full fees

• Attendance on or after the first day of term 2: 2/3 of the full fees

• Attendance on or after the first day of term 3: full fees

Fee liability for undergraduate students with tuition fee loans (Student Finance) is as follows:

• Attendance on or after the first day of term 1: 25% of the annual tuition fee for your course will be payable

• Attendance on or after the first day of term 2: 50% of the annual tuition fee for your course will be payable

• Attendance on or after the first day of term 3: 100% of the annual tuition fee for your course will be payable

In the event of the formal withdrawal procedures not being observed, the student is liable for payment of fees in full for the academic year.

Trinity Laban reserves the right to retain any programme fees paid.

Where a student has taken out a tuition fee loan, Trinity Laban will notify the SLC of the last date of attendance and the student’s liability for fees will be communicated to the SLC on the above basis.

If you enrol later than the enrolment period, you waive the opportunity to terminate your studies without a charge being incurred.

Late Registration

Please note that you will not be able to register on any programme due to start in September later than 4 weeks after the beginning of the induction/enrolment session without prior permission from the Registry.

January Enrolment

If you withdraw from your programme within 14 days of registration you will need to visit Registry and inform them of your decision in writing. You will not be liable to pay tuition fees if you confirm your decision with Registry by this date. Please note the latest you can register for a January start programme is 4 weeks from the date of enrolment.

Changing Mode of Study (From Full-Time To Part Time or  Part-Time To Full-Time) or Programme

Status changes for programmes which commenced in September will need to be completed by the end of October. It will NOT be possible to change your status after this date unless there are Mitigating Circumstances (see below). The Change of Status form can be found on Moodle.

If you decide to change from full-time to part-time you should note that this will take effect from the following term and you will be charged a full-time fee for the first term following enrolment.

If you change from FT to PT, the financial award will remain the same, except if the award exceeds the amount payable.  In this circumstance, the award will be applied to cover the tuition fee in full and any remaining amount will be held over to the next academic year and will be applied to the invoice as a tuition fee reduction.

Interruption of Study

If you are unable to continue with your studies as planned you may, subject to approval from your Programme Leader and other designated individuals within your Faculty, interrupt and return at a later date. If you interrupt your studies by the end of induction week, you will not be liable to pay any fees in the year in which you interrupt, provided you complete the required form and return it to the Registry by the start of the first teaching week.

Where a student needs to interrupt their studies part way through the academic year for a compelling reason, subject to completion and authorisation of the interruption form, the Conservatoire will adjust their liability for tuition fees in the year of interruption:

Fee liability for students is as follows:

Attendance on or after the first day of term 1: 1/3 of the full fees
Attendance on or after the first day of term 2: 2/3 of the full fees*
Attendance on or after the first day of term 3: full fees

Fee liability for undergraduate students with tuition fee loans (Student Finance) is as follows:

Attendance on or after the first day of term 1: 25% of the annual tuition fee for your course will be payable
Attendance on or after the first day of term 2: 50% of the annual tuition fee for your course will be payable
Attendance on or after the first day of term 3: 100% of the annual tuition fee for your course will be payable

In the event of the formal interruption procedures not being observed, the student is liable for payment of fees in full for the academic year.

Trinity Laban reserves the right to retain any programme fees paid.

Where a student has taken out a tuition fee loan, Trinity Laban will notify the SLC of the date of interruption and the student’s liability for fees will be communicated to the SLC on the above basis.

Return to Study

Interruption of studies means that you are either considering or intending to interrupt or suspend study for a specific period of time, but that you intend to resume studies with Trinity Laban at a future date.

A student who returns from interrupting their studies will be charged for the period they are registered in the academic year on their return to study.

All full-time UG students in receipt of a student loan will be charged as follows:

• Return to study in term 1 – 100% of the annual tuition fee

• Return to study from term 2 – 75% of the annual tuition fee

• Return to study from term 3 – 50% of the annual tuition fee

Self-paying students will be charged as follows:

• Return to study in term 1 – full fees

• Return to study from term 2 – 2/3 of the full fees

• Return to study from term 3 – 1/3 of the full fees

Depending on the date of interruption and return a student may be liable for a higher total fee than that anticipated at the time of enrolment. In general, to cover such eventualities, students are entitled to funding from Student Finance England for the duration of their course plus one extra year.

Financial Award repayments

If you change status, or withdraw from your programme of study, you will be liable to repay the award on a pro-rata basis. You will be informed of any outstanding fees due by Finance.

Mitigating Circumstances

By enrolling on a programme of study either online or in person, you are entering into a contract with Trinity Laban and are bound by the information detailed here which outlines the deadlines and financial expectations should you decide to change status, or terminate your studies.

I acknowledge that if I am in attendance during any given term that I will be required to pay the fee for that term, which will be calculated as described in this document.

I understand that if I have a financial award I will also be required to pay back all or part of the award on a pro-rata basis.

In the event that you have not paid the due fees or discharged any other financial obligation to the Institution, Trinity Laban reserves the right to neither to allow you to register nor continue studies, nor award a degree or other certification and reserves the right to take action to recover outstanding monies.
